These conditions apply to all hirers of Sorn Village Hall. They exist to protect the building, the community, and your event — please read them before signing your application form.
Application & responsibility
All bookings are made via the application form. The person signing (aged 18 or over) is the Hirer and is personally responsible under these conditions. Any named organisation is jointly liable.
The hall may only be used for the purpose stated on the application form.
The Hirer is responsible for the behaviour and good conduct of all guests, with due consideration for other users and local residents.
For some events, stewards may be required to help manage entry and conduct. The Secretary will let you know if this applies.
A responsible, named person must be present for the duration of the hire to supervise and take control in an emergency. If no one is nominated, the Hall Committee will appoint someone and charge accordingly.
Charges & cancellation
Hire charges run from the hour of entry to the hour of departure. Early entry is charged on the same basis.
Charges are based on the Scale of Charges in operation at the time of hire. Unless the whole hall is booked, the Committee may hire out unused parts of the hall to other users.
If you cancel, a cancellation charge of up to 50% of the total hire fee may apply, at the discretion of the Hall Committee.
Care of the hall
The hall must be left clean and tidy. Additional cleaning charges will apply where the hall requires more than standard cleaning time.
The Hirer is liable for any damage caused during the hire period, including investigative costs. A condition report will be completed before and after every hire.
All equipment brought into the hall must be safe and compliant with relevant safety regulations. The Committee or caretaker may exclude anything deemed unsuitable.
The maximum capacity of the hall must not be exceeded at any time.
Hirers must familiarise themselves with the fire regulations displayed in the building.
Legal & licensing
All necessary licences must be in place before the hire — including theatre, trading, and liquor licences where applicable.
Food hygiene regulations must be followed where food is prepared or served.
Unauthorised use of copyrighted material is not permitted.
Where music is performed (live, recorded, or sung), Performing Rights Society forms must be submitted to the Hall Committee. Associated fees will be added to the hire charge and are non-discountable.
The Hirer indemnifies the Sorn Village Hall Committee against all claims arising from the hire. Hirers are advised to consider taking out suitable event insurance.
Hall committee rights
The Hall Committee reserves the right to access any part of the hall at any time.
The Hall Committee may cancel any booking at any time and accepts no liability for resulting loss or damage.
The caretaker or Hall Committee may refuse entry at any time.
In any dispute, the Hall Committee's decision is final.
